By choosing to work with me, Sonia Hanks of Mindscapes Hypnotherapy, you agree to participate in online hypnotherapy sessions under the following terms:
- Session Duration & Frequency: Each session typically lasts around 60 minutes,
though the duration may vary depending on individual needs. Weekly or fortnightly
appointments are recommended unless we agree otherwise, to ensure consistency and
availability for all clients.
- Session Environment: For confidentiality and effectiveness, all online sessions must
be conducted with you alone in the room unless we've discussed and agreed
otherwise.
- Cancellations by Therapist: I reserve the right to cancel sessions at my discretion. If
this occurs, any unused session time will be fully refunded.
- Non-Transferable Appointments: Sessions are arranged specifically for you. They
cannot be transferred to another person without prior agreement.
-Payment Terms: Full payment is required at least 24 hours before each session via
bank transfer.
- Rescheduling Policy: If you need to change or cancel your appointment, please do so
by phone, text, or email no less than 24 hours in advance. Missed appointments or late
cancellations will be charged in full.
- Availability: While I may not be available to answer calls between sessions, you're
welcome to leave a voicemail, send an email, or message via text/WhatsApp. I’ll
respond as soon as possible.
- Confidentiality: All sessions are confidential in accordance with the Data Protection
Act and guidelines on ico.org.uk. As a member of the Association of Professional
Hypnosis and Psychotherapy, I attend regular supervision. Occasionally, I may
discuss our work in a general, non-identifiable way with my supervisor.
-Sharing Information: I won’t contact your GP or other professionals without your
consent. If sharing is agreed upon, only basic information such as your name or
treatment plan may be disclosed.
- Duty of Care: If there is clear evidence that you may harm yourself or others, I may
need to inform your GP or a relevant authority. This would only happen with your
knowledge, unless in exceptional circumstances where urgent intervention is needed.
- Record Keeping: Brief session notes are securely stored and accessible only by me.
All digital devices used for communication or record-keeping are encrypted and
password-protected.
- Data Retention: Your client records will be stored for up to 7 years in accordance
with insurance and GDPR requirements.
- Referrals: If during our work together I feel that additional or alternative support is
more appropriate, I may recommend referral to another therapist or medical
professional. All options will be clearly explained.
- Access to Records: You may request a copy of your file or ask for your records to be
deleted at any time by contacting me in writing via email.
- Purpose of Guidelines: These terms are in place to create a safe, structured
therapeutic space and help you get the most benefit from your sessions.

Important: Never listen to hypnosis recordings while driving or operating machinery.
Always ensure you are in a safe and relaxed environment. Audio products are designed to
support your therapy, but they are not a guarantee—your commitment is key to your success.

such cases, I may decline to proceed and recommend seeking advice from a GP or specialist.
Treatment estimates are general guidelines. Progress will be reviewed regularly between us.
